Overview
Come join Team Atlantis! The Catering Coordinator is responsible for support of the Convention Services and Catering Management team in all aspects necessary to provide excellent customer service to clients on behalf of the department organization.
Responsibilities
- Responsible for handling all incoming calls, making sure all forms are being filled out correctly and giving information to the Catering Management Team in a timely manner
- Monitor daily logs for any changes and follow through on requests.
- Additional responsibilities will include; preparing all contract event orders, diagrams, direct bill application, order bar tickets, key requests, and post payments.
- Coordinate Casino Marketing Events, large Non-profit events, large conferences assigned to the Director of Catering and Catering Managers; ensure a continuous communication with the client from beginning to end. Prepare a detailed and accurate banquet event order and diagram for their functions using data from previous years or new itineraries.
- Initiate contact with new inquiries, book space, send contracts, create BEO’s, book pre-con meetings, finalize billing based on contracted agreement.
- Enter and administrate in Delphi all Casino Special Events bookings.
- Prepare drafts of contracts and proposals for clients, collection of payments and communication with accounting
- Book In-house meetings in Delphi when banquet rooms are required.
- Process gift certificates for groups and keep a log.
- Order supplies from inventory and create purchase orders with backup.
- Create various reports using data from various programs.
- Make changes to menus and items in Delphi when needed.
- Communicate with outside companies for groups such as; GES, freeman, West Coast A/V, Computer Rental, ect.
- Update and send all revisions to appropriate departments.
- File all important information in group file.
- Update account information as needed.
- Train with and Assist Business Center Staff whenever needed.
- Other duties as assigned my management.
While performing the duties of this job, the employee may be required to stand; walk; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel crouch or crawl; talk, and hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to focus.
Qualifications
- Proficient in Outlook, Word, and Excel. Delphi experience is preferred.
- Must have experience with Catering and Hotels
- Exceptional communication ability, and must be extremely detail oriented and organized.
- Sales experience helpful.
- Must have the ability to work well with others including the operations team in Banquets and have the dedication and desire to want to exceed every Guests expectations every time.
- Must be willing to assist in the Business Center when needed.
